Vacancy Secretarial Assistant to the Director

The UNESCO Institute for Lifelong Learning (UIL) is an international research, capacity-building and documentation centre based in Hamburg (Germany), and is currently seeking a full-time Secretarial Assistant to the Director as maternity cover from Mid-January to December 2011. Duties for this post include:
Supporting the Director to ensure the overall coordination of all Institute activities and performing any other duties which are considered necessary.
Coordinating, distributing and supervising and filing all incoming and outgoing mail as well as providing background information requested by UNESCO Headquarters or Member States.
Supervising, coordinating and preparing conferences etc initiated by the Director including taking and producing minutes.
Coordinating worldwide business travel arrangements for the Director.
Liaising, on behalf of the Director, with officers inside and outside the office, to give or obtain information.
Your profile:
Completed secondary education and high-level vocational education as European secretary, foreign language secretary or tri-lingual secretary
Excellent command of English, French and German (both written and spoken).
Flexibility to adjust work schedules and priorities.
Good communication and interpersonal skills.
Very good command of MS-Office 2003
Good analytical and organisational skills, an aptitude for supervision others and for working autonomously.
Terms & conditions:
The salary for this local post is based on the German Tariffs Agreement for Public.  Service (TVöD), salary group 9. The salaries of the staff of UIL are exempt from direct taxation.
